The sponsorship amounts listed in the prospectus represent the total final amount payable for all sponsors. For Italian companies, this amount is gross (including 22% VAT). For international companies, this amount acts as the net flat fee (VAT 0% / Reverse Charge).

1. Agreement and Payment Terms
Submission of this form constitutes a binding agreement between the Sponsor and the AEM 2026 Organizing Committee, subject to package availability.
Pricing and VAT: The sponsorship amounts listed in the prospectus represent the total final amount payable for all sponsors. For Italian companies, this amount is gross (including the mandatory 22% VAT). For international (EU and Non-EU) companies, this amount acts as the net flat fee (VAT 0% / Reverse Charge / Out of Scope).
Payment: Payment is due in full via bank transfer within 30 days of the invoice date to secure the selected sponsorship package and exhibition space.
If payment is not received within the specified timeframe, the organizers reserve the right to release the reserved package/booth to another interested party.
2. Cancellation Policy
By Sponsor: Cancellations must be submitted in writing. Cancellations received before the 30th of April will receive a 100% refund. Cancellations received before the 21st of June will receive a 50% refund. After this date no refunds can be issued.
By Organizer: In the unlikely event that the conference is cancelled or postponed, the Organizer’s liability is limited to the refund of the sponsorship fee paid.
3. Marketing Materials and Deadlines
To ensure inclusion in printed and digital materials, the Sponsor must provide all required assets (high-resolution logos, company descriptions, etc.) by the 30th of June.
The Organizers are not responsible for omitted brand recognition if materials are submitted past the deadline.
4. Exhibition Space and Venue Guidelines
For sponsors with an included exhibitor booth, the allocated space is approximately 2m x 2m and includes a table, internet connectivity, and access to power.
Sponsors must abide by all rules and regulations of the venue (Ex Stabilimento Florio / Tonnara Florio). Displays and equipment must not damage the historic property and must remain within the designated footprint.
5. Liability and Insurance
The Sponsor is entirely responsible for the security and safety of their own equipment, materials, and personnel during the event.
The AEM 2026 Organizing Committee, the venue, and their respective agents shall not be held liable for any loss, damage, or injury to the Sponsor’s property or personnel. Sponsors are advised to carry their own liability insurance.
6. Right of Refusal
The Organizing Committee reserves the right to review and reject any sponsorship application that does not align with the conference’s scientific and community objectives. If an application is rejected, no fees will be charged.
